💡 What is Smart Review?

Smart Review is a feature that integrates the traditional review experience with the intelligence of the Smart Document. It was created to provide a simplified, efficient document review experience focused on collaboration between internal users and external reviewers.

In the first version of Smart Review, the review creation experience follows the traditional model, but there will be no different review profiles for guests; everyone will have the profile equivalent to "Suggest changes".

Creating the Invitation

The Smart Review creation experience closely follows the traditional review process. You will be able to add reviewers, include attachments, and configure advanced options such as the invitation language.

Tracking the Turn

Tracking the counterparty's turn works just like in traditional review, allowing you to know who is responsible for the current turn, the elapsed time, who has access to the environment, and how to close the turn. A highlight is that Smart Review will feature a banner informing the user that the document is under review, something that does not exist in the current traditional review.

Receiving the Reviewed Document

The attachments experience from traditional review works well for Smart, but using an attachment sent by the counterparty as the new main version of the document will not apply. Upon receiving the reviewed document, the new experience will feature buttons to approve or make a counterproposal on the changes, allowing a more direct interaction with the external reviewer's suggestions. Only the internal user will be able to accept or make changes to the wording.

🤝 External Reviewer Experience

The external reviewer will have a smooth experience focused on their task, with access to features that facilitate collaboration.

The invitation email for the Smart review will work the same way as the traditional invitation. The goal is to simplify the guest's experience, as they often do not know what netLex is and fail to recognize the email sent.

🚀 Conclusion and Key Differentiators

Smart Review maintains the traditional review experience while leveraging existing improvements and fixes, but with some important changes. The only initial changes will be: there will be no different profiles for guests (everyone will have the profile equivalent to “Suggest changes”), and there will be no option to download the main document for the external reviewer.

In this first release, the focus is solely on highlighting the external reviewer's changes with a color "diff" (strikethrough red for removed content and underlined green for inserted content) and versioning the review. Only the internal user will be able to accept or make changes to the wording, keeping control over the document.

This is the mechanics of Smart Review, enabling reviewers to closely track document evolution and suggest changes intuitively.
