Frequently Asked Questions
💡 What is the third-party template?
Not all documents managed in netLex are created from scratch. Often, the process starts with an existing document, such as a draft received from a counterparty or a legacy file.
The third-party template functionality was developed to optimize and simplify the handling of these documents. Instead of adapting existing models, you can configure a specific template type where the starting point is the upload of an existing file.
✅ What problems does the third-party template solve?
Previously, handling documents that didn't start with a questionnaire involved challenges like:
- Need for Lex-In: Creating models just as an "entry point", even if the document wasn't generated by the tool.
-
Difficulty in data collection: Missing the chance to collect management info (like cost centers) or maintaining Lex-In just for that purpose.
⚙️ How does the third-party template work?
When using a third-party template, the user journey starts in a simplified way:
- The user starts a new process based on a third-party template.
- The platform requests an upload of the existing file instead of a creation questionnaire.
- If enabled, the user can choose AI extraction during upload to automatically fill in management properties.
- The document follows the flow using Workflow 2 (nextGen).
🛠️ How to configure the third-party template?
To configure a third-party template, follow these steps:
- Go to Settings My templates.
- Click on Create new template.
- Define the template name and storage folder.
- Select the source option third-party template.
- Click on Create template.
- Click Start configuration to customize priority of Management and Workflow.
💡 A correta configuração do Modelo de Terceiros garante um fluxo otimizado para documentos externos!
✨ Use Cases
- Third-party draft approval: When you receive a contract in the counterparty's format.
- Non-automated documents: For types that don't have a fully automated template in netLex yet.
-
Special documents: Managing one-off files outside standard operations.
💡 Benefits
- Start managing and extracting value from documents faster.
- No need to create Lex-In models for every external document type.
- Simplifies the workflow for files that already exist.

❓ Frequently Asked Questions
-
Does the third-party template use Lex-In?
No. The focus is on the file upload. Subsequent steps in the flow may or may not involve interaction with the document (such as editing), but the starting point is the already existing file.
-
Can I use Workflow 1 (classic) or Workflow 2 (nextGen) with the third-party template?
No. The management flow for documents initiated with a third-party template uses Workflow 2 (nextGen) for its stages.
-
Can I still collect management information with this template?
Yes! You can use priority of Management properties and, in conjunction with the Management Questionnaire feature, configure stages in the workflow to collect relevant managerial data for the uploaded document.
-
How does AI property extraction work during upload?
If your netLex environment has the AI Extraction feature enabled, at the time of upload, you will have the option to ask the platform to analyze the document and automatically fill in some priority of Management properties with the information found.
-
Is this template suitable for documents I need to edit extensively after upload?
The primary focus is the management and approval of existing documents. Although the uploaded document can go through editing stages in the flow, the third-party template is especially suitable when most of the work on the document has already been done externally and netLex will be used to orchestrate the remaining flow. For documents created from scratch or those requiring extensive collaborative editing on the platform, a template with a questionnaire and Lex-In may be more appropriate.
