🤖 What is netLex Legal Intake?
netLex Legal Intake is a solution that centralizes and organizes legal support within the company. With the help of an intelligent Legal Agent, it automatically answers simple and repetitive questions and requests that frequently reach the legal team.
More than just a service channel, Legal Intake acts as a strategic gateway for all legal demands based on two pillars:
- Automate the handling of simple and repetitive requests, with the help of netLex's Artificial Intelligence, reducing the legal team's overload;
- Collect, centralize, and forward more complex requests to the responsible lawyers, in a structured and efficient way.
netLex's artificial intelligence consults the company's internal document base to offer consistent answers, aligned with the organization's guidelines and policies.
With this, employees can resolve day-to-day legal questions directly through Microsoft Teams, without needing to open tickets or involve the legal team for recurring, low-risk issues.

⚙️ How to create the Knowledge Base used by the Legal Agent
The Knowledge Base consists of folders with documents created within the documents tab in netLex. To create specific folders for the Legal Agent’s learning, you should consider the following limitations:
- Do not use spreadsheets: the AI does not interpret tables. Always convert the content into plain text within a document (like Word or a readable PDF).
- Do not use images: prioritize documents with raw, well-structured text. The clearer and more textual the material, the greater the Legal Agent's accuracy.
- Avoid grouping several pieces of information in a single file. Each company document should be kept separately within netLex.
Once the folders are created and organized, you need to index them to the Knowledge Base. For this, you must be an administrator user and follow this path:
- Go to Settings > Artificial Intelligence
- Enable the option “Activate AI Chat Assistant”
- Click + Add
- Select the folder and subfolders you want to link to your Internal Knowledge Base and click Save.
When creating the Internal Knowledge Base, you will need to initiate the document indexing process, which may take several hours depending on the number of documents included.
You have the option to delete or edit (add or remove subfolders) a Knowledge Base. After this process, reindexing must be performed again, which may also take time to be available in the environment.
When the Knowledge Base is deactivated or deleted, the features operate only with the LLM, meaning only public and non-company-specific information will be used.
Important:
- Only users with access to the root folder of the base will have access to the Knowledge Base information.
- If the user does not have this access, Legal Agent interactions will be based only on the LLM.

🔐 Information Security and Privacy
The user will receive responses from the Legal Agent based on the information from documents their access profile allows them to view. If your company has several folders in the Internal Knowledge Base and a user only has access to one of them, that user will only receive responses related to the folder they have access to.
🚀 Installing the netLex AI app on Microsoft Teams
- Open Microsoft Teams and log in.
- Go to "Apps" in the side menu and search for "netLex AI"
- Click "Add"
Important: To enable the use of the app, the Microsoft Teams Administrator needs to authorize this action. Therefore, if you cannot find the application, speak with your administrator.

💬 Making a query in Microsoft Teams
- Open a chat with “netLex AI”.
- To start the process, type “login”.
- Now, enter the domain you want to access (Example: companyname-netlex).
- Click the link to access netLex. Then, copy the code that will appear on the screen and paste it into the Teams chat.
- Type your question. The AI will respond based on the documents linked to the Internal Knowledge Base.
- To log out at any time, type “logout”.
Important: If the user does not have access to the folder(s) linked to the Internal Knowledge Base, interactions made in Teams will only be with Chat GPT.

💬 Making a query in the netLex chatbot
- Access the Chat in the document.
- Click the AI icon in the top right corner of the screen.
- Ask your question.
The AI will search for the answer in the documents linked to the Internal Knowledge Base.
Important:
- If the user does not have access to the folder(s) linked to the Internal Knowledge Base, the interactions in the Chat will rely solely on the LLM.
- Legal Intake is an add-on to your plan. Contact your CSM to learn how to enable this feature for your company.
