🎯 Objective
In this article, you will learn how to configure the permissions for the Signature section in netLex. You will understand how your access profile and folder sharing work together to allow the sending and tracking of digital signatures, and you will get a detailed look at each feature that can be enabled in custom profiles.
This article contains the sections:
- Understand how your accesses work
- Custom Profiles: The key to personalization
- Detailing the Signature section items
- Mapping: Access Profile vs. Folders
🔍 Understand how your accesses work
Access to signature features in netLex follows the dual validation rule. In order for you to send a document for signature, your Access Profile must allow this technical action, and the folder shared with you must also grant the necessary permission.
Permissions are organized according to the guidelines described in the article: Folder Sharing.
This structure ensures process security and compliance, respecting the Prevalence Rule:
- If folder access is lower than the profile, the most restrictive access from the folder prevails.
- If folder access is higher than your profile, your profile's limit will be maintained.
🛠️ Custom Profiles: The key to personalization
It is important to highlight that the detailed configuration of each technical checkbox in the Signature section is only possible in Custom Profiles.
Predefined profiles (Viewer, User, Power User, and Admin) have fixed and immutable settings. If your company needs a specific combination of permissions that does not fit the standard models, contact your system administrator for more information.
📑 Detailing the Signature section items
Check what each feature allows when enabled in a profile:
- Read signature: Allows the user to view the status and progress of a document's signatures.
- Send signature: Authorizes sending the signature process for the document.
- Embed attachments in signature: Allows including the document's attached files directly in the signature envelope sent to signers.
- Read signature provider integration: Allows viewing the connection settings with external providers.
- Create signature provider integration: Authorizes the setup of new integrations with digital signature providers.
- Edit signature provider integration: Allows changing parameters of existing integrations.
- Delete signature provider integration: Authorizes the removal of configured connections with signature providers.
📊 Mapping: Access Profile vs. Folders
As we have seen, the system performs a dual validation. The desired permission must be enabled in both places simultaneously:
- In the Access Profile: Defines what the user can do within the platform in general.
- In the Folder Settings: Defines what the user is permitted to do specifically in that folder.
| Group (Profile) | Item (Access Profile) | Group (Folder) | Item (Folder) |
|---|---|---|---|
| Signature | Read signature | Signature | Read |
| Signature | Send signature | Signature | Send for signature |
| Signature | Embed attachments in signature | Signature | Embed attachments |
