🎯 Objective
In this article, you will learn how to configure and use the step editor in workflow 2, enabling controlled and secure editing at each stage of the document. By the end, you'll know how to activate and use the editor in workflow stages.
🆕 What is the editor?
The editor is a feature that allows direct text editing in documents, overriding the automation of variables configured in questionnaires. There are three editing modes:
- Comments: allows adding notes without changing the original text.
- Suggestions: proposed text changes that require approval to be incorporated.
- Direct editing: allows text modifications, approving, or rejecting suggestions directly.
Step Editor in Workflow
The step editor is a feature that allows configuring the editor's use directly in specific workflow stages. This enables activating the editor only where necessary, ensuring greater control and security in the contract formalization process.
For the editor to be available in a stage, the document template must allow this functionality.
📌 Tip: New workflow stages don't allow the editor by default; it must be manually activated.
⚙️ How to configure the step editor?
- Check the document template: the editor must be enabled in the document template to be configured in the stages.
- Configure stage by stage:
- Access the workflow settings.
- In the desired stage, enable the editor, selecting the appropriate editing mode (comments, suggestions, or direct editing).
- Grant user permissions: for the editor to work, the user must have the necessary permissions in their access profile.
📌 Tip: The editor will only be available in the stages where it is activated and for users with the necessary permissions.
🔐 Requirements for using the editor
Using the editor depends on three conditions that must be active simultaneously:
- User permissions: the user must have editor access (comment, suggest, or edit directly).
- Document template: the template must allow editor use.
- Workflow stage: the current stage must have the editor activated, and the user must be responsible for that stage.
With the step editor in the workflow, you control where and how edits can be made, increasing security and efficiency in the document review process. ✍️
