The Intelligence page allows you to follow the results of everything that is done in netLex by your company. It is possible to follow, in graphics, several information about the documents elaborated and the flow they went through, making the management and investigation of improvement points easier.
The data to be analyzed can be the quantity of documents produced, for example, or some key information that is entered in the questionnaire. If there is, for example, an indication in the questionnaire about having or not a guarantee in the contract, it is possible to follow up a report about the number of documents prepared without guarantee. Another example would be to see how many contracts had their approval step completed with a delay.
With this kind of customization, you can set up the charts according to the result that is relevant to your company! Here is how to set it up:
1) Go to the "Intelligence" page and create a folder by clicking on the gear icon in the top right corner of the screen.
Folders are used to organize your charts and can be divided by sector or by template (document type), for example.
2) Inside a folder, create a chart by also clicking on the gear icon.
From the different chart formats, the main data can be:
- Number of documents per user (presents the amount of documents produced per person);
- Number of documents per template (shows the number of documents created from each template - document type - that the company has);
- Number of documents per creation date (presents the number of documents produced each month);
- Number of steps per manager (shows the number of workflow steps - such as approval or signature steps - that have already been completed or are open for each manager);
- Number of steps by SLA date (shows the number of steps that had SLA expiration within each month).
According to the type selected, certain filter options appear in the settings. Examples:
- Filter by author (allows you to select a specific user or team to see how many documents were authored by that user);
- Filter by template (used, for example, to see how many documents of a particular template were prepared by a person);
- Filter by workflow status (allows you to see, for example, how many contracts are in progress);
- Filter by workflow step (if there is a step that only occurs in certain situations, such as management approval, for example, it is used to see how many documents have gone through this approval).
When the graphs are created, they are saved so that all users with permission can view them. By clicking on the vertical three-dot icon, located in the upper right corner of each chart, you have access to the following options:
- View table (view the data selected in the chart configuration in table format);
- Get data (export the chart's data table in excel);
- Edit (allows you to change the chart's settings);
- Remove (delete the chart from Intelligence).
We suggest some charts for monitoring basic metrics of netLex platform usage. See below how each one is configured and how the graphs look respectively.
- Legal inquiries finished with delay (to monitor monthly how many inquiries had the "Legal Analysis" step finished with delay).
- Documents finalized by template (to see, in the selected period, how many documents of each template were finalized).
- Urgent queries per user (to view, in the selected period, how many queries each requester marked urgent to receive the answer).
