Requirements to use the Editor
💡 What is the Editor?
The Editor is a tool that allows direct editing of a document's text, overriding the variables configured in the questionnaires. It offers three editing modes:
- Comments: allows adding observations that do not change the original text.
- Suggestions: allows proposing changes that need approval to be incorporated into the final text.
-
Direct Editing: allows changing the text and approving or denying suggestions without the need for approval.
👉 Editor by Workflow step
Editor configuration is done in two stages. First, the document template must allow editing; otherwise, the Editor cannot be enabled in any stage of the flow.
If the template allows it, the configuration must be adjusted step by step in the workflow. This ensures that the Editor is available only when it is truly necessary, increasing security and control in contract formalization.
Remember: new steps created in the workflow do not allow the use of the Editor by default. You must activate this option manually.
🛠️ How to configure the Editor by step
Follow the steps below to enable the Editor in a specific step of your workflow:
- Access the document template you wish to configure.
- Go to the workflow settings.
- Select the step where you want to enable the Editor.
- Enable the option that allows using the Editor for that step.
- Save the changes.
📝 Requirements to use the Editor
For the Editor to be available to a user in a document, three conditions must be met simultaneously:
- The user must have access permission to the Editor through their profiles. The type of editing (Comments, Suggestions, or Direct Editing) is determined by these permissions.
- The document template must allow the use of the Editor.
- The current workflow step must be configured to allow editing, and the user must be the person responsible for that step.
❓ Frequently Asked Questions
-
Why is the Editor not available to me in a document?
Check if you have access permission, if the document template allows editing, and if the workflow step you are in also allows the use of the Editor.
-
Do I need to enable the Editor in all steps of my workflow?
No. The step-by-step configuration allows you to enable the feature only where it is necessary, increasing the security and precision of your workflow.
